Role & Responsibilities

Maintenance Committee
  • Prepare daily / weekly society's activity schedule and update the notice boards with current information
  • Coordinate with communications committee for monthly calendar of events for SSSSNEF and update the notice board.
  • Stocking of the general supplies i.e., stationary, electronics, rest room supplies etc.
  • During the temple working hours coordinate maintain the general housekeeping of lobby cleanliness including flyer bins, removing trash etc.
  • Coordinate cleaning and securing facility after all ongoing Satsang activities and during any special events.
  • Maintenance of Kitchen cleanliness with ongoing housekeeping as needed.
  • Manage and supplies inventory of the temple kitchen.
  • Refurbish and maintain available space in the temple premises to include a kid's area.
  • Maintenance of interior ambience of the temple i.e. ensure the lobby area/ food serving area/ kids area appearance is enhanced and maintained in good condition.
  • Responsible for maintaining general cleanliness and peaceful atmosphere in the temple hall. (The responsibilities include general maintenance of electric, heat, air conditioning, plumbing and sound system)
  • Coordinate maintenance of Shoe racks.
  • Responsible for sorting and arranging on shelves.
  • Coordinate parking and movement of devotees (esp. kids) in the parking area, in a way there are no complaints from neighbors of the facility.
  • Identify Temple key holders and maintain a log sheet with temple 'key holders' details.

  • All the bills for reimbursements should be witnessed and signed by another committee coordinator or a BoD member before submitting to the finance committee.
  • Work closely with other committee coordinators on ongoing basis and during all special events at the temple.

Note: A call may be placed as a follow up to on the email communication to the President by the concerned committee coordinator.
Worship Committee
  • Organize religious activities including daily services to baba /bhajans at the Society Temple.
  • Responsible for flowers, garlands, fruits and puja material requirements on an ongoing basis.
  • Provide religious calendar for the year in month on month format to the communications coordinator to be published on SSSSNEF website.
  • Distribution of pooja material to all the sponsors of various pooja's in line with flyer information prior to the event.
  • Observe major religious dates with appropriate religious services.
  • Coordinate pooja material requirements for religious activities.
  • Maintain in good condition all articles used for religious activities.
  • Coordinate all priest activities for weekly Satsang and any special events.
  • Provide informationto communications committee of religious events.

  • Coordinate the weekly Thursday Satsangs and work with special events coordinator during other religious special events at the Temple.
  • Plan the program (schedule of the day) for each event and have designated individuals for each segment of the program (special prayers, bhajan singing, sai chaleesa)
  • Responsible for arranging Bhajan, Satsang in the Temple by visiting religious groups.
  • Maintenance of temple bhajan / religious books and keep them up to date on a frequent basis

  • Coordinate Bhajan practice/training sessions with new interested devotees. These will serve as back-up participants as well.

Communications & Web Committee
  • Prepare fliers for society related activities with Puja details, sponsorship etc. for publication.
  • Note: Ensure all the communication requested is proof read by concerned committee coordinator with a copy to info@Shirdisaisociety.org, before communicating to all devotees.
  • Inform and maintain regular communication with members, volunteers, supporters and devotees using electronic and printed media.
  • Publish a monthly newsletter covering past activities, upcoming events and other items of interest.
  • Maintain the Society website and keep it current with all pertinent information.
  • Arrange meeting as needed with various committee coordinators / volunteers to promote better understanding of temple ongoing requirements / special updates.
  • Format agenda points and minute discussion points for all adhoc and scheduled meetings no later than I week from the date discussions are held and coordinate with the Secretary of the EC to publish the minutes.
  • Document all major activities within and related to Society using photography and video.
  • Ensure post event communications are sent out in a timely fashion.
  • Reach out to the devotees on a frequent basis and invite feedback on temple activities and functionality.
  • Ensure on-site registration and email communication to ensure devotees details are well captured and included in email distribution list for all society related communication.
  • Periodic Review of volunteer and other email distribution lists for updates.

  • Publish society special activities flyer communication with other local organizations like JAXINDIANS, TAJA,etc.

Food / Prasadam Committee
  • Coordinate sponsorship of food for various events.
  • Manage the revenue collected via sponsorship and turn over the funds to temple finance coordinator.
  • Coordinate and distribute prasadam to all the devotees during weekly Satsang.
  • Plan and coordinate preparation, collection and distribution of Prasad for religious events at the temple.
  • Responsible for ensuring the utensils are washed and stored at a designated place
  • Post any religious activity at the temple, which requires prasadam distribution.

Financial Committee
  • Responsible for maintain the budgets and expenses list of the temple.
  • Maintain accurate records of income and expenses submitted and are able to provide real time reporting.
  • Ensure no payments are made without supporting receipts.
  • Ensure timely payment of bills no later than 30 days from the date of obtain the receipts
  • For payments pre-incurred, the reimbursement via receipts is no exceeding 30days from the time of incurring the expenditure. For all receipts obtained past 30days, obtain email confirmation from EC prior to honoring the payment. In the event the receipts are not submitted past 30 days, despite follow-up , with BoDs approval, this payment may be concluded as personal expenditure of the individual with no obligation to SSSSNEFL.
  • Collecting and issuing of receipts to the devotees that make donations at the temple.
  • Update worship committee on the list of life members on a periodic basis to ensure appropriate formalities are fulfilled.
  • Manage sponsorships of archanas, abhishekam and various poojas.
  • Work closely with other committee coordinators on ongoing basis and during all special events at the temple.

  • All the bills for reimbursements should be witnessed and signed by a another committe coordinator or a BoD member.
  • Encourage the community members to become life/annual members of SSSSNEF.
  • Keep all activities pertaining to the committee transparent and ensure communication to info@Shirdisaisociety.org with a copy to all committee coordinators on any new initiatives / potential issues. A response from info@Shirdisaisociety.org will be received with 24hrs - 48hrs.
Special Events Committee
  • Comprises of coordinators of all committees.
  • Identify, plan and coordinate religious functions of temple following Indian religious calendars as published on SSSSNEF website.
  • Monitor and ensure timely performance of all planned religious special events
  • Responsible for coordinated decorations during all special events.
  • Ensure cooperation and coordination between all coordinators of various committees to maintain coherent atmosphere in the temple during these events.
  • Coordinate any offsite events including ordering of tickets and distribution of these tickets to the volunteers for special events like shows and fundraisers etc.
  • Get community calendar in Jacksonville area and make sure our program does not clash with other major programs in Jacksonville.

Volunteers Committee
  • Attract and keep broad based volunteers that would provide services in different areas of the organizations’ needs.
  • Coordinate availability of volunteers on a day to day basis to open the temple, during various Arati slots.
  • Create a schedule of volunteers for temple opening operations

Youth Committee
  • Promote youth members involvement in temple activities.
  • Ensure Volunteering during special events at the temple and ongoing weekly satsang slots engaging kids of all age groups.
  • Engage kids of all age groups with recreational / educational and movie time activities.
  • Read literature pertaining to any given social and cultural issue to the kids with customized creativity.
  • Maintain inventory of the committee and request any refill of stock as needed.
  • Spending threshold for the committee is $250 beyond which all the expenses should have prior approval from BoD member(s) that may be obtained via email to info@Shirdisaisociety.org .

NOTE: All the above committees are requested to maintain a log book on how to perform each event with details (i.e., maintenance committee where do they purchase toilet paper at cheaper price, same with pooja items, special events committee for each event how many volunteers needed, event planning and execution etc.,) so that it would be easy for the next person to follow.
